General Terms and Conditions
To ensure the best possible outcome for your patients and the most accurate imaging, please adhere to the following guidelines. These protocols are designed to prioritize patient comfort and image quality.
1. Drop-Off Requirement
All patients scheduled for ultrasound appointments are required to be dropped off at the clinic on the morning of the procedure. This is a necessary step due to the nature of our appointments and allows us to prepare your pet for the ultrasound properly.
2. Fasting Requirement
When possible, patients should not be fed any form of food for 12-18 hours prior to the ultrasound to ensure optimal imaging and minimal discomfort. Access to water is always allowed.
3. Sedation for Comfort and Image Quality
When in doubt, sedate. Uncomfortable or stressed animals will tense body walls and won’t hold still which will result in suboptimal imaging. For the comfort of your pet and to ensure the highest quality of images, sedation is recommended when necessary.
4. Shaving the Area
If your patient requires shaving for the ultrasound procedure, please ensure this is done in advance of the appointment. Restraining the animal in dorsal recumbency to shave them will almost always reveal which animals will require sedation.
5. Cancellation Policy
Same-day cancellations or rescheduling may result in a cancellation fee. We understand that emergencies can arise, but we kindly ask for as much notice as possible if you need to cancel or reschedule this appointment.
6. Cardiology Consultation for Echocardiograms
If you choose to add the cardiologist consultation service, please be sure to submit the request prior to 5:00 PM on the day of the ultrasound. Failure to make the request during business hours may result in a delay of the cardiology review.
7. Radiograph Review with Cardiology Request
As a reminder, radiograph review by the cardiologist is complimentary. However, in order to ensure a timely cardiology report, all radiographs must be submitted through the link provided in your confirmation email on or before the day the service is requested. Failure to submit radiographs on time may result in a delay of the cardiology report. Cardiology requests cannot be canceled once they are received.

Terms and Conditions for Payments
These Terms and Conditions govern the payment methods and policies for services provided by Mobile Veterinary Imaging. By accessing and using our services, you agree to the following payment terms.
1. ACH Payments
We require all payments to be processed through Automated Clearing House (ACH) payments, which can be conveniently accessed with a link that we provide or through your Zoho Portal account. By setting up ACH payments, you authorize Mobile Veterinary Imaging to debit your designated bank account for the amount due.
The ACH payment system is secure and encrypted, protecting your sensitive financial information. Please note that your bank account will not be charged unless explicitly authorized by you.
2. Credit Card Payments
Credit card payments are accepted with an additional fee of 3.5% of the total payment amount. If you wish to pay via credit card please contact our practice manager via email ([email protected]) and she will provide a link to enter your credit card information.
3. Checks
We also accept checks as a method of payment. Please make all checks payable to Mobile Veterinary Imaging and ensure they are submitted by the due date to avoid any late fees or other penalties.
4. Late Payment and Card on File
Failure to make payment by the due date will require you to keep a credit card on file with us for future payments. In addition, a 3.5% credit card processing fee will apply to all payments made after the due date. We reserve the right to charge this card if timely payment is not received.
